For eight years we have supported a large international company to deliver their EMEA sales conference.
In this time the event has grown from 750 attendees, from ten operating countries, to over 1,300 attendees from over 20 different countries. The event is now five days long comprising of a major plenary session, 110 breakouts, four team-building exercises, a socially responsible activity, four awards dinners and a spectacular closing gala dinner party.
In addition to the growing logistics our input into the communication objectives, content, creative and production requirements has also increased. We have had to ensure that year on year the live event advances and evolves. We have become a trusted supplier and join their senior leadership team to develop content and message delivery.
The brief demands an engaging theme that communicates objectives clearly to a multinational audience. In order to achieve this we consulted with senior management to fully understand the strategic issues, specific messages and localised objectives. Research was also conducted amongst a sample of previous attendees and as a result, the event structure was changed and new technologies introduced to enhance the delegate experience. This included an event app (in seven languages) that facilitated delegate communication and encouraged collaborative behaviour throughout the conference.
It was paramount to live and breathe the theme, ‘Make An Impact’ for the opening plenary. A three-sided tiered seating arrangement was created and images were projection mapped onto three huge screens and four large arms. At key points in the opening plenary wristbands, colour coordinated by Business Unit, were activated to light up. Images of attendees’ faces were incorporated into video stings and an iPad orchestra featuring all of the delegates was introduced as an energiser.
The event was very well received and both client and attendee feedback show that all objectives were successfully achieved. The event has subsequently won several global industry awards based on the innovative ideas and content combined with the precise logistics and production delivery. We have been reappointed to manage this event for the ninth year.
